Board Annual Goals - 2025 Results

Internal Organization

  • Continue work on charter and staffing of all committees

    • Charters created for Awards Review Committee and Marketing Committee. Awards Review Committee has been restaffed. Marketing Committee staffing in progress.
  • Ongoing review of operational activities calendar developed in 2024

    • Completed.
  • Coordinate and showcase our diverse community in American Randonneur, Between Controls and all social media and communications

    • Ongoing, continued collaboration between American Randonneur and Between Controls.

Rules and Procedures

Continue to review and update all rules, procedures, documentation for organizers and riders, for all types of rides (Brevets and Populaires, Team Events, UAF Audax and Permanents)

  • RBA Procedures: Complete and publish major updates (except for Audax and Waiver, which depend on outside groups)

    • RBA Procedures comprehensively updated.
  • Move the time calculation documentation from Rules for Organizers to its own page

    • Draft of new web page ready - awaiting putting code into production.
  • Audax Rules for Organizers and Riders: Work with the Audax Committee on developing these rules

    • No progress. Will reach out to the Audax Committee in 2026.
  • Team Event Rules: Work with the Team Events Committee on updates 

    • Updated the rules and added comparison between team and non-team rides. Could improve Tips for Organizers in 2026.
  • Permanent Rules: Review for any updates 

    • Ongoing. Reviewed, but work may continue in 2026.

Event Registration Support and Insurance

  • Continue to encourage collaboration among regions for sharing of tools

    • Hosted a RBA roundtable in mid-2025 to encourage dialogue between RBA’s on how they can collaborate cross-regionally, increase promotion/marketing, improve social media engagement and grow local clubs. The intention in 2026 is to host 2-3 additional roundtables with a narrow focus for each meeting.
  • Continue migration to Smartwaiver

    • Several regions converted to Smartwaiver during 2025 representing approximately 80% of all event waivers and 90% of all waivers.

Marketing

  • Complete charter of committee

    • Completed, available here.
  • Develop yearly baseline budget by December 2025

    • Done.
  • Recruit 2-3 more members at large by December 2025

    • Ongoing. Survey sent to membership via Between Controls, Facebook Group, and Google Group asking for input. Survey available here.
  • Winter training Rouleur Series in warmer climate 1st quarter 2026: 

    • Completed and on calendar with Arizona Randonneurs in February 2026.
  • Showcase organization at the 14th Philadelphia Bike Exposition with a booth and seminar

    • RUSA was represented by an enthusiastic group of volunteers at a booth at PBE; we also gave a panel discussion about Randonneuring, which was well attended. 

      RUSA ran a special discounted membership drive on March 8-14 to coincide with PBE, which brought in a total of 56 new members and 199 renewals for a total of $7755 in revenue and an average of 8 new members per day during this time.

      We will return to Philly with a booth again in 2026.
  • Gravel Worlds booth

    • Completed in August of 2025
  • Merch initiatives: RUSA reflective vests; Pedal Industry bag; RUSA socks via Sock Guy

    • Vests completed in April; Bag completed in August; Socks completed in October, launched to members January 2026.
  • Identify potential additional events/expo(s) for 2026 for RUSA booths by the end of December 2025:

    • Philadelphia Bike Expo in March 2026 and Skinny Tire Festival in Moab in March 14-17 2026 (Chris Argo will be attending and will staff a booth).  
  • Identify video project as we did in 2022 with Tim Sullivan for 2026-2027

    • No progress.
  • Possible new RUSA kit in 2026

    • Ongoing. 2026 BOD and Marketing team to work on Marketing initiatives during 2026 goal setting.
  • Possible RUSA Paris-Brest-Paris (PBP) kit and/or possible PBP specific socks in 2027 

    • BOD and Marketing team to work on 2026 Marketing initiatives during 2026 goal setting.
  • Work with web team on making revision to the main background photo on the RUSA site

    • No progress, carry over to 2026 as a joint marketing and web team goal.

Awards

  • Physical Gravel Award

    • No progress on this.
  • Update and distribute 2025 volunteer patches

    • Completed.
  • Implement a Climbing Award

    • Deferring this to 2026 until we have actual climbing data for evaluating appropriate thresholds.

Gender

  • Complete review of Gender survey

    • Completed.
  • Make decision on gender categories and display

    • Completed.
  • Communicate to membership

    • Completed. The rationale and aggregated survey results were also articulated in public documentation for ongoing reference.

Website

  • Cumulative Climbing: Continue rollout, including support for Alaska and point-to-point routes

    • Completed. Processes and tools have been established for all stakeholders: members, RBAs, permanents committee, brevet routes committee, and brevet coordinator.
  • Authentication-Required Functions: Move certain functions behind user logins (e.g., joining / changing membership, calendaring events and submitting results, viewing volunteer contact info) for security and privacy

    • Regional functions are all behind authentication/authorization. 
    • Aligned on a direction for the various membership workflows. 
    • Address change membership workflow still needs to move behind a login. 
    • Considering changing from email as a website login identifier and just use RUSA # in the future.
  • Gender Designation, Aggregation, and Display: Implement Board’s policy, when it is finalized, on member’s gender options, and for where gender is displayed

    • Completed except for the introduction of the new gender option. That's blocked on authentication enhancements for the address change membership workflow. 
    • Privacy policy may need updating.
  • Improve membership signup, renewal and data change:

    • Enabling renewal of membership and perm program simultaneously is not completed due to unclear requirements regarding multi-year memberships and program costs that can change from one year to the next.
    • Processing payment immediately even if an address update is requested still in progress.
    • Streamlining new membership signup/renewal for further in-person marketing initiatives in progress. Improving the signup process before events such as Philly Bike Expo will be a priority in 2026.
  • Complete Time Calculation Algorithms:  Publish on a common web page. Requires coordination with third parties.

    • Common documentation created. Rollout is now unblocked and is awaiting prioritization.
  • Server upgrade - Upgrade production to newer versions of Debian, Drupal, and PHP

    • All server software has been upgraded to stable and supported versions, and the critical bugs resulting from the upgrades have been resolved. We are developing/refining processes to ensure we can stay on top of this going forward.
